Finding a distributor in China: sustainable sales with the right partner

01

Distribution structures in China: importer, master distributor and regional dealer

In China, imported products often reach consumers through a layered structure. The importer handles customs and documentation; a master distributor builds the sales network for the whole country or a large region; regional dealers reach stores, restaurants, hotels or corporate customers in specific cities or provinces. Some companies take on several of these roles. At Yeni İpekyolu, we determine which structure fits your product category and build the candidate list accordingly.

A common mistake among Turkish companies is to grant exclusivity for all of China to the first company that shows interest. Because China is so large, it is usually hard for a single distributor to perform equally well in every region. We recommend limiting exclusivity by region, channel and duration, linking it to targets and clearly defining a trial period. The relationship then starts on a basis of trust and both sides know their expectations. We help you reflect this approach in the draft contract as well.

02

Finding candidate distributors and choosing well

We look for candidate distributors at sector fairs, in imported-goods markets, among stores selling similar products on e-commerce platforms and through industry networks. For each candidate, we review the company structure, existing brand portfolio, sales channels, warehousing and logistics capacity, and the regions covered. We separately flag companies that already represent a competing brand. The result is a prioritised candidate list with short profiles and the reasons each one fits. We review the list together and choose with you the candidates you want to meet.

The first contact starts with a short introduction pack in Chinese and personal communication over WeChat. Chinese distributors usually want to see quickly the product story, the advantage of its origin, the price structure, marketing support and first-order terms. Our team presents this information in their language, answers their questions and arranges online or face-to-face meetings with interested candidates. We verify the candidates' identity and records before the meetings. This way you spend your time only on serious, suitable partners.

03

From meeting to contract: building a solid distributorship

First meetings with Chinese partners usually focus on building the relationship; detailed commercial points become clear in the second or third meeting. Meeting in person, sharing a meal and giving a presentation about your factory or product help trust form quickly. At Yeni İpekyolu, we organise meetings in China or in Türkiye, interpret, and after each meeting summarise in Turkish what was discussed, open questions and the next steps we recommend.

At the agreement stage, it is important that the distribution contract is prepared in Chinese and Turkish or English, and that the scope of exclusivity, targets, price and payment terms, use of the brand and termination conditions are written clearly. The legal review of the contract is done by licensed lawyers; we handle translation, coordination and communication. Having your trademark registered in China also strengthens your position in the distributorship; we include this step in your plan as well. The relationship thus starts on a clear and solid footing for both sides.

06 · FAQ

Frequently asked questions

Should I work with a single distributor for all of China?

It depends on the product and the partner's capacity. In many cases a structure based on regions or channels works better. If exclusivity is granted, we recommend limiting it by duration, region and targets.

How long does it take to find a distributor?

It varies with the product category, target region and market interest. We prepare the candidate list relatively quickly; building the relationship and meetings usually take several rounds. We factor the fair calendar and Chinese holidays into the plan.

Will the distributor import my product into China itself?

Many distributors handle imports themselves or through an importer they work with. In that case they take care of customs and documentation, and you manage the export side. We specifically ask about import capability when evaluating candidates.

What support do distributors expect?

They typically expect Chinese product materials, samples, a contribution to promotion, fair or launch support and reasonable first-order terms. Clarifying in advance what you can offer strengthens your position in talks. We prepare the support package together.

How can I tell whether a distributor is reliable?

We check candidates' business licences and public registry records before meetings. We look at the brands they represent, their sales channels and, where needed, see their office or warehouse in person. We share the findings in a Turkish report.

Can I work with a distributor before registering my trademark in China?

You can, but registering your trademark in China is generally recommended. In China, the first applicant usually has priority, and registration also protects you in the distributorship. We coordinate the registration with licensed local agencies.

Do I need to come to China for the meetings?

The early stages can be done online. However, meeting serious candidates in person is the most effective way to build trust in China. We plan a business trip or fair visit for this, and can also help you host candidates in Türkiye if you prefer.
