Factory and business meeting interpreting: face to face with your Chinese supplier

01

What to look at on a factory tour, and what the interpreter asks

A factory visit is the best opportunity to see whether the supplier is really a manufacturer or a trading company, along with its capacity and quality culture. But the tour can easily become a show guided by the sales rep. Our interpreter listens directly in Chinese not only to the sales manager but also to the line supervisor, quality officer and warehouse staff. They ask questions such as how many shifts the machines run, where raw materials come from and at what stage quality checks are done in a natural conversation, and convey the answers to you in full.

Before the visit we prepare a Turkish question list and observation checklist for you. During the tour the interpreter takes notes and, with your approval, records photos of the products and machines you see. At the end of the day we provide a short Turkish visit summary. If a deeper assessment is needed, our factory audit service can carry out a systematic check during the same visit. At Yeni İpekyolu our goal is for you to return to Türkiye with a clear view of which supplier to continue with.

02

What goes unsaid at the table: face, guanxi and the indirect “no”

In Chinese business culture, saying “no” directly is rare. Expressions such as “let us look into it”, “it is a bit difficult” or “we need to talk to the boss” are often a polite form of a negative answer. Word-for-word translation misses this nuance, and the Turkish buyer assumes things are on track. Besides conveying the expression accurately, our interpreter gives you a short contextual note when needed. In the same way, they render a blunt or very direct sentence of yours into Chinese in a tone that preserves the other side's face without changing its meaning.

Relationships, or guanxi, are the foundation of long-term business in China. In early meetings, presenting your company, the Turkish market and your long-term plans rather than jumping straight to price builds trust. Business cards are given and received with both hands, seniority matters and gift exchange is common. Our interpreter guides you on these small but effective details in advance. That way you leave the impression of a serious and respectful partner on the first visit and have stronger ground in later negotiations.

03

Business dinners and toasts: the deal that follows the table

Chinese suppliers often invite important customers to dinner. These dinners are as important as the meeting; seating order, the host's speech and toasting rituals show the warmth of the relationship. If you don't drink alcohol, saying so politely is entirely acceptable, and our interpreter conveys this in suitable language. Informal remarks made at dinner sometimes reveal more than the formal stance in the meeting. Your interpreter stays with you throughout the dinner and notes key points for the next day.

Prices, delivery dates and quality promises discussed in meetings are easily forgotten or remembered differently if not put in writing. That is why we recommend preparing a short Turkish–Chinese summary of agreed points with our interpreter at the end of each meeting. Sending this summary to the supplier on WeChat ensures both sides continue from the same point. If needed, our contract translation service can turn these notes into a formal order annex.

06 · FAQ

Frequently asked questions

Why hire a separate interpreter when the supplier has its own?

The supplier's interpreter works for the supplier and may not convey everything. Your own interpreter looks after your interests only and also passes on side conversations. This is a clear advantage, especially in price and quality discussions.

What if the factories are outside the city?

Many factories in China are in industrial zones or surrounding districts. We plan transport by car or high-speed train and have the interpreter travel with you. Where possible, we group visits in the same area into a single day.

Does the interpreter understand technical topics?

We learn about your sector in advance and assign an interpreter with suitable experience. If you share technical documents at the briefing, terms are prepared beforehand. For highly specialised meetings, we plan to work alongside your technical team.

What should I watch out for at a business dinner in China?

Following the host's seating plan, holding your glass slightly lower than your counterpart's when toasting and being ready for a short thank-you speech make a good impression. If you don't drink, politely saying so is enough. Your interpreter gives you a quick reminder before the dinner.

Can I record the meeting?

It is advisable to get the other side's consent before recording; Chinese companies are sometimes uncomfortable with it. Instead, the notes our interpreter takes and the bilingual summary of agreed points often provide a more practical record.

Can I work with the same interpreter long term?

Yes, for clients who visit China regularly we schedule the same interpreter whenever possible. As the interpreter gets to know your products, suppliers and preferences, meetings become more productive.

What should I do if I notice a problem during the visit?

Mention it quietly to your interpreter in Turkish; at a suitable moment they ask the question in Chinese without embarrassing the other side. We add your observation to the visit summary. If needed, a factory audit or quality inspection can be planned as the next step.
