Remote video interpreting: productive on-screen meetings with Chinese suppliers

Which platform? Choosing the channel the Chinese side is comfortable with
Business communication in China runs largely through WeChat; WeChat video calls are common for quick conversations, and Tencent Meeting (腾讯会议) or DingTalk for scheduled meetings. Zoom and Microsoft Teams can also be used, though connection quality or setup habits may differ at some factories. At Yeni İpekyolu we contact the Chinese side in Chinese before the call, find out which platform they prefer and test the connection. Our interpreter joins the meeting as a third participant; you join from your office and the supplier from their factory.
The time difference is an important part of planning: China is five hours ahead of Türkiye. Nine in the morning in Türkiye means two in the afternoon in China; hours close to the end of the working day in China can coincide with times when the factory team is tired or scattered. That is why we generally recommend scheduling calls in the morning, Türkiye time. Since factories may close during long holidays such as Chinese New Year and Golden Week in early October, it is also wise to complete critical calls before these periods.
Live factory tours and sample reviews: what to look at on camera
One of the most valuable uses of remote interpreting is the live factory tour. The supplier's sales rep walks through the production line, warehouse and quality control area with a phone in hand; you watch on screen and ask questions instantly through the interpreter. Our interpreter asks in Chinese for the camera to zoom in on a particular machine, label or product detail, helping you see the real working environment rather than a prepared show. Such a tour is a quick way to shortlist suppliers before travelling to China or to confirm that production has started at an existing supplier.
The same method works for sample reviews. When the sample reaches your office in Türkiye, you open a call with the supplier and show measurements, colours and defects together on camera. The interpreter conveys your correction requests in clear, measurable Chinese. At the end of the call, a revision list is prepared in Turkish and Chinese and sent to the supplier on WeChat. This reduces the chance of the same error repeating in the second sample and shortens sample rounds.
Regular production meetings and quick phone interpreting
Once your order is in production, short weekly or fortnightly meetings help resolve problems before they grow. In our remote interpreting service we can assign the same interpreter to your file on a regular basis; because the interpreter knows your product, supplier and previous conversations, calls are short and focused. After each meeting, a bilingual note covering production status, delivery date and open issues is prepared. When needed, our field team in China can also visit the factory and check the situation in person.
Not every need requires a scheduled meeting. Sometimes it is enough to understand a voice message the supplier sent or clarify an issue with a five-minute phone call. At Yeni İpekyolu we also offer short phone interpreting and translation of WeChat voice messages. This flexibility saves time for importers doing business with China every day. When more complex issues arise, we turn the conversation into a scheduled video meeting or an on-site factory visit.
Who benefits most from remote interpreting?
Importers who can't travel to China often
You manage supplier selection, samples and order follow-up from Türkiye. You save travel time for critical visits.
Those following orders in production
With regular short meetings you check production status and delivery dates. Problems are spotted early.
Machinery buyers who need technical support
You hold a live call with the Chinese engineer for the installation or fault of a machine you bought from China. The interpreter conveys technical terms accurately.
Companies with regular meetings with Chinese partners
A dedicated interpreter is assigned to your distributor, joint venture or project meetings. Meeting notes are archived in both languages.
What the remote interpreting package includes
Platform and connection setup
The platform and time are confirmed with the Chinese side in Chinese. If needed, a short connection test is done before the call.
Video call interpreting
The interpreter joins the meeting and provides Turkish–Chinese consecutive interpreting. Work is also done over screen sharing and documents.
Live factory tour guidance
The interpreter directs in Chinese where the camera should point. The tour follows a pre-prepared observation list.
Meeting note
Decisions, figures and open issues are gathered in a bilingual note. With your approval, the note is sent to the supplier on WeChat.
Short phone and voice message interpreting
Quick support is given for unplanned short calls and WeChat voice messages. Urgent matters are handled the same day.

Frequently asked questions
Can remote interpreting replace a face-to-face meeting?
For daily follow-up, samples and technical matters it is often sufficient and very practical. For first introductions, large contracts and quality crises, a face-to-face meeting strengthens the relationship. Using both together saves time and builds trust.
What if the supplier doesn't use Zoom?
Chinese companies mostly prefer WeChat or Tencent Meeting. We give you a short setup guide for joining one of these platforms. The international version of Tencent Meeting can also be used from abroad.
How far in advance should I schedule the call?
For scheduled meetings, a day or two's notice is ideal. For short urgent calls we try to support you the same day. For regular meetings we can set up a fixed schedule.
Given the time difference, when is the best time for a call?
As China is five hours ahead of Türkiye, mornings in Türkiye time are generally the most productive. These hours fall in the afternoon in China while the factory team is still at work. We recommend avoiding hours that fall during the lunch break in China.
Will information shared in the call stay confidential?
Our interpreters work under a confidentiality principle and do not share call content with third parties. If you wish, we sign a confidentiality agreement with you before starting. Meeting notes go only to you and the people you approve.
Is a live factory tour the same as a factory audit?
No. A live tour gives a quick preliminary assessment, but the supplier controls the camera. In a factory audit, our field team visits the factory and checks documents, capacity and the quality system on site. A live tour is a good first step to decide which supplier is worth auditing.
How does the monthly package work?
For clients with regular correspondence and calls with China, we create a monthly package covering a set number of hours. The same interpreter is assigned to your file, and short calls and voice messages can be included. We define the scope together based on your needs.
