01 · Overview

Working with an interpreter at Chinese fairs: a guide for buyers and exhibitors

01

What an interpreter brings when you walk the fair as a buyer

Large fairs like the Canton Fair have thousands of stands, and the English of the sales reps varies a great deal. The best prices and most flexible terms often come from factory reps who know the product well but have weak English. A Turkish–Chinese fair interpreter speaks to these stands directly in Chinese and quickly clarifies price, minimum order quantity, lead time, samples and customisation options. At Yeni İpekyolu our interpreter also takes notes for you, so you return to the hotel with an organised list of what was discussed at each stand.

WeChat is the centre of communication at the fair. Chinese suppliers prefer scanning a WeChat QR code to exchanging business cards, and later price lists, photos and videos come through that channel. Our interpreter helps you tag the contacts you add on WeChat with their stand number and product, so you don't mix up who is who after the fair. We can also prepare your first Chinese follow-up messages together after the fair. A well-started first contact ensures the supplier sees you as a serious buyer.

02

Stand interpreters for Turkish exhibitors

When you exhibit at a fair in China, the vast majority of visitors speak Chinese. Distributor candidates, importers, chain-store buyers and e-commerce sellers assess your product within minutes. Your stand interpreter explains product information in Chinese, learns about the visitor's company and interest with short questions, and brings serious candidates to talk with you. Before the fair we hold a briefing on your products, pricing policy and frequently asked questions, so the interpreter arrives at your stand prepared on day one.

The stand interpreter also keeps a visitor log: name, company, city, product of interest and WeChat details. When the fair ends, you have this list in Turkish and Chinese and can immediately start follow-up talks with warm leads. On busy fair days one interpreter may not be enough; depending on stand size and expected visitor traffic, we recommend working in shifts with two interpreters.

03

Fair calendar, booking and planning between cities

The Canton Fair is held in Guangzhou every spring and autumn in phases, with different product groups shown in each phase. During fair periods, demand for experienced Turkish–Chinese interpreters is very high; we recommend booking as soon as your dates are set. The same applies to specialised fairs in Yiwu, Shanghai and Shenzhen. If your programme covers more than one city, we can plan for the interpreter to travel with you or for a local team member to meet you in each city.

Fair interpreting is usually planned as full days, with the interpreter at your side throughout fair hours. If there are suppliers whose factories you want to visit after the fair, we arrange the appointments in Chinese during the fair days and continue with factory and business meeting interpreting in the following days. We can also build an integrated programme with other Yeni İpekyolu services covering transport, hotels and invitation letters.

02 · Who it is for

Who needs a trade fair interpreter?

01

Buyers going to the Canton Fair for the first time

The size of the fair can be exhausting on a first visit. Your interpreter helps you plan the halls and spend time at the right stands.

02

Exporters exhibiting at a Chinese fair

A Chinese-speaking team member at your stand is the fastest way to turn visitors into customers. Your interpreter also keeps the visitor log.

03

Wholesalers visiting Yiwu and specialised fairs

You need fast price comparisons across many small suppliers. Your interpreter bargains in Chinese and records prices in a table.

04

Organisations attending a fair as a delegation

For chambers and associations, a team with several interpreters is planned. Delegation members can split into groups by area of interest.

06 · FAQ

Frequently asked questions

How far in advance should I book an interpreter for the Canton Fair?

Demand is very high during fair periods, so we recommend booking as soon as your dates are confirmed. We also do our best for last-minute requests. Booking early increases the chance of choosing an interpreter who knows your sector.

Does the interpreter help with fair entry and registration?

Yes. They guide you in advance on buyer registration and badge procedures and are with you at the entrance on the first morning. For the Canton Fair, buyer registration can usually be done online in advance; we confirm current practice together.

Will the interpreter negotiate on my behalf?

Our interpreter asks questions in Chinese in line with the targets you set and conveys the other side's terms in full. You always make the decision. If you want a more comprehensive negotiation strategy, we can combine this with our negotiation support service.

Is one interpreter enough for a full day?

For one person or a small team walking the fair as buyers, one interpreter is usually enough. If you are exhibiting or your team will split across halls, we recommend two. We determine your needs together based on your programme.

Can the interpreter also come on factory visits outside the fair?

Yes. We can plan visits in the following days to the factories of suppliers you liked at the fair. Continuing with the same interpreter keeps the relationship with the supplier consistent.

How reliable are the prices I get at the fair?

Fair prices are usually a starting point and can change as quantity, materials, packaging and Incoterms are clarified. Our interpreter asks and records what conditions the price is based on. That way you compare quotes correctly after the fair.

Can I talk with fair suppliers without coming to China?

Yes. A team member can walk the fair on your behalf and connect you by video from the stands while you join the conversation with remote interpreting. We can also collect samples and ship them to Türkiye.
